Confirm my apprenticeship details

From 9 September, employers or training providers using provider permissions, must add a unique email address when adding an apprentice record to the apprenticeship service. This can be the apprentice’s personal, college or work email address, but not a group email address.  

This is a mandatory field and designed in line with GDPR requirements.  

Without a unique email address, you will not be able to save or approve the apprentice record, so funding cannot be allocated.   

If you currently use the bulk upload/file upload tool, you will need to ensure that the apprentice’s email address is included in the file.  If you do not include a unique email address you will not be able to successfully upload the file. 

Please note: This feature is for new apprenticeships added to the apprenticeship service from 9 September.  Email addresses cannot be added retrospectively

Once the email address is added to the apprentice record, the apprentice will receive an email invitation to create a 'My apprenticeship' account. This will be from  the.apprenticeship.service@notifcations.service.gov.uk and will look like the image below

Whilst the setting up of a 'My apprenticeship' account is encouraged, it is not mandatory and will not impact the apprenticeship start date or your apprenticeship funding.
