Temporary issue affecting the adding of apprentice journey
Known issues for training providersWe are aware of an issue currently affecting training providers when adding apprentices through the Individualised Learner Record (ILR) journey.
What is the issue?
Live learners appearing in ILR approval journey
The issue occurs when an apprenticeship record is added to the ILR before it has been added to the Apprenticeship Service using the manual route and fully approved.
This can lead to errors in the approval process, as the system cannot reconcile the mixed journeys. In short, the problem arises when the ILR and manual approval routes are unintentionally combined. Following one process consistently will ensure records are processed correctly and prevent avoidable errors.
Current status
Work is underway to resolve this issue for any learners already affected.
In the meantime, providers can avoid encountering this problem by following the correct process for each approval method, outlined below.
How to avoid the issue
It is important to use one consistent approval route per learner.
ILR approval route
If you are using the ILR approvals process, follow these steps:
- Add the learner to the ILR first
- Then add the learner to the Apprenticeship Service using the ILR approvals method
Once the record is fully approved, the learner will no longer appear in the “available learners” list for ILR approval.
Manual approval route
If you are using the manual approvals process, follow these steps:
- Add the learner to the Apprenticeship Service first
- Once the record is fully approved, add the learner to the ILR
When added in this way, the learner will not appear as available for selection under ILR approval.
